AI in ERP

This blog series explores AI in ERP for the small to mid-sized business (SMB) market. Our analysis focuses on 3 categories of AI: Copilots, Automation and Insight. We compare and contrast the 5 leading systems and how they approach AI in ERP for governance, human involvement, and ROI.

Are Enterprise Resource Planning (ERP) and Artificial Intelligence (AI) Competitive or Complimentary?

The answer is very dependent upon who you ask! As we peruse LinkedIn, you see buzz about AI and predictions of ERP's death. Publishers are racing to add MCP servers and other technologies for secure AI in ERP. Channel managers are encouraging their value added resellers to lead with AI. Customers are definitely asking about AI as they look to modernize their technology.

AI in SMB ERP

The real answer is yes, and it depends.

  • Sage Intacct is a leading cloud ERP focused on core financials.   Artificial Intelligence is a game changer that will bring “best of breed” solutions to a Sage Intacct core financial platform.
  • Oracle NetSuite subscriptions come with an easily configurable secure MCP server for ChatGPT or Claude.
  • SAP is “leading the way” with the “Autonomous Enterprise.”  SAP’s AI Suite drives insight from your “Business Data Cloud” powered by SAP ERP and connected SAP applications.
  • Microsoft and its M365 platform of products brings together ERP, Azure Cloud, Azure AI Foundry and Microsoft Copilot.
  • Acumatica’s no per-user fee, open architecture and industry focus allow for immediate value.  Rather than futuristic AI, Acumatica provides AP automation and improved CRM with AI.

Each publisher has taken different approaches for trustworthy AI in the small to mid-sized business (SMB) market.

This blog series explores the intersection of AI and ERP in leading business software for the SMB market.  We will focus on the largest five publishers in the North American market including:

  • Acumatica,
  • Microsoft (Dynamics 365 Business Central),
  • Oracle NetSuite,
  • Sage, and
  • SAP (SAP Business One).

We examine the current AI offerings and unique differentiators from three lenses:

  1. Governance mechanisms,
  2. Level of human involvement required, and
  3. Return on investment (ROI).

Major Market Shifts

AI entered the SMB ERP arena as a catalyst for enhanced automation, decision-making, and user experiences. While software systems have long benefited from automation and analytics, only large enterprises incorporated AI in daily workflow.  SMB  organizations are now seeing rapid strides in AI capabilities.

Three core categories stand out as the framework for understanding AI in SMB ERP:

  • Copilot & Chatbot Assistants: AI-driven conversational interfaces and guidance systems embedded in ERP, often labeled as “Copilots” or chatbots. These use natural language processing to assist users with day-to-day tasks, queries, and decision support.
  • Document Ingestion & Automation Agents: Intelligent algorithms and machine learning tools that automatically digest and process incoming documents (e.g., invoices, receipts, forms). These tools combine traditional Optical Character Recognition (OCR) with advanced reasoning to extract relevant data and populate ERP records.  For example, accelerating accounts payable (AP) workflows and order entry while reducing manual errors.
  • Intelligent Insights & Forecasting Agents: Advanced analytics and forecasting systems powered by AI.  Demand forecasting, cash flow projections, or customer behavior predictions are incorporated in dashboards, written narratives, and recommendation engines.  Traditional “advanced” inventory planners use regression analysis to provide predictive insights.  Now artificial intelligence adds real time economic and weather information to improve accuracy.

AI empowers ERP systems to streamline operations, making them more interactive, automated, and insightful. The macro trend expandes ERP beyond the role of a transactional system-of-record into an intelligent assistant. The system leverages AI to reduce simple tasks and  manual work to improve decision quality in finance, operations, sales, and beyond.

Imagine a Future...

Imagine your core system enriched by three extensions:

  • A conversational AI copilot interfacing with users,
  • A document ingestion funnel feeding data into the system, and
  • An AI insights engine outputting analytics to inform decision makers.
AI Enriched ERP

These three foundational AI categories are already incorporated into leading business management software. This blog series will discuss:

  • How each element plays out with specific vendors,
  • How leading vendors ensure accuracy and governance,
  • The current and potential roles of humans in these processes,
  • ROI for SMB customers, and
  • Vendor-specific innovations.

The series will dive further into each category and culminate in a current comparative analysis identifying cross-vendor patterns and future trends.  We also discuss key concepts and terminlology including:

  • AI controls and governance for quality and accuracy.
  • Return on your AI investments.
  • Human involvement in the current and future AI environments.
